Run Done vs. copy-paste into ChatGPT
Plenty of offices already paste text into ChatGPT and ask it to extract the details. For a one-off, that can be a perfectly reasonable move. The differences show up when the output has to land in a formatted Word document, be checked value by value, and involve clients' personal data.
What ChatGPT is good at
ChatGPT deserves its popularity. As a general assistant it is flexible in a way no purpose-built tool is.
- Zero setup. Open a chat and start. Nothing to install, configure or learn.
- Free or cheap for one-offs. An occasional extraction task costs nothing.
- Flexible. It can summarize, rephrase, translate and answer follow-up questions in the same conversation, which no document-filling tool does.

When to pick ChatGPT
- It is a genuine one-off. You need a few values pulled out of a text once, and retyping them into the document by hand is no burden.
- The task is broader than filling: you also want summaries, rewording or translation in the same conversation.
- The material contains no client personal data, or you are on a business tier and comfortable with the data handling.
When to pick Run Done
- You fill the same documents repeatedly, and the copy-paste round trip from chat back into Word is the actual time cost.
- The output must be your existing formatted Word document, not text you transfer by hand.
- You need a review step you can trust: every value checked one by one, nothing invented, blanks where nothing was found.
- You are handling clients' personal data and need EU hosting, GDPR compliance and a signed data processing agreement.
