How to move one new employee’s data into the contract, declarations and registration forms without retyping it: one source set, one review, and no drift.
One new employee generates one small data set and a surprising number of documents. The set: name, personal and tax numbers, address, date of birth, position, salary, start date. The way to onboard without retyping is to capture that set once from the employee’s documents, verify it once, and let it flow into every paper that needs it.
One employee, how many documents?
Count them for your own office once; the number is usually higher than expected. A typical hire touches most of these.
- The employment contract itself: parties, position, salary in figures and often in words, start date, place of work.
- Declarations: confidentiality, data protection consent, equipment receipt, policy acknowledgements.
- Registrations with authorities: tax, social security and health insurance forms, each asking for the same identifiers.
- Payroll setup: bank account details, tax relief claims, dependants where relevant.
- The personnel file: an internal record sheet repeating everything above.
Some of these carry deadlines. In the United States, for example, the employer’s section of Form I-9 must generally be completed within three business days of the employee’s first day, per the USCIS employer handbook (uscis.gov/i-9-central). Onboarding paperwork is not the kind of work that can wait for a quiet afternoon.
Why does retyping per document cause drift?
Because each retyping is an independent event, and independent events disagree. The contract says Aleksandar, the insurance form says Aleksander. The salary is right in digits and wrong in words. The start date is the first in one document and the third in another because the offer moved and only one file caught up. None of these are careless people. They are five documents typed at five moments from whatever paper was nearest.
Drift between onboarding documents is worse than a single wrong value, because the documents certify each other. When the registration disagrees with the contract, someone at the authority, the bank or the insurer notices, and the fixing happens on their timetable, not yours.
The capture-once workflow
- Collect the sources on day one: a photo of the employee’s ID, the signed offer or hiring decision, the bank detail slip.
- Extract the full value set from those sources into one place. The ID supplies identity, the offer supplies position, salary and start date.
- Check each value against its source one time: the personal number against the ID card, the salary against the signed offer.
- Produce every document from the verified set: contract, declarations, registrations, file sheet.
- Review each finished document as a document: right person in the right role, salary words matching salary figures, dates consistent.
